Grays Point Soccer Club
(Guidelines for external funding – Advertising and Sponsorships)
1. Purpose of this document
This short document has been prepared to provide Club Members with a guiding framework for the management of financial contributions from third parties – whether sponsorships or advertising.
2. Background
Grays Point Soccer Club (GPSC) is located in Angle Road in Grays Point, on the edge of the Royal National Park in Southern Sydney. The club has more than 600 members and fielded 49 teams in the Sutherland Shire Junior Soccer Association in 2006, making it the tenth largest (equal with Miranda Magpies) in the 25 club competition.
While the club is economically viable in its own right, the club relies on government grants and sponsorship/advertising for the funding of equipment, ground improvements, and general facility improvements.
This short document provides members and funding providers (i.e. Advertisers and Sponsors) with a guiding framework for the management of financial arrangements. In this way, the club aims to maximise the potential benefits to both sponsors/advertisers and club members by setting out a framework where the expectations of both parties can be managed effectively.
3. Nature of private sector financial contributions
The Club raises funds from private sector businesses via two mechanisms, namely:
3.1 Advertising
GPSC offers a range of advertising products to suit most small to medium businesses. This approach differs from Sponsorships in that third party businesses actually purchase an advertising product over a defined period.
The key elements of GPSC’s advertising products can be summarized as follows:
- A suite of advertising products are available, including: banner advertising on game days, newsletter advertising, equipment advertising (excluding soccer uniforms), and/or web-site advertising.
- Advertising products can be purchased on a single-product or bundled product basis.
- All advertisers are required to produce their own artwork (in the case of print or electronic advertising) or their own banners in the case of banner advertising.
- Advertising rates are charged as per the schedule of rates provided in Appendix A.
- Advertising agreements can be struck on either a cash basis or the provision of in-kind services (Where in-kind services are provided, the total value of in-kind services must be at least equal to the face-value of the advertising product
- Advertising agreements are struck for a period of at least 1 year, with exclusive options for a further two years.
- Advertisers are offered category exclusivity unless otherwise agreed with incumbent advertisers.
- Advertising fees are payable in advance of each season.
3.2 SPONSORSHIPS
All sponsorships are struck using the pro-forma provided in Appendix B.
GPSC offers sponsorships on a tiered basis, ranging from major club sponsors (Red, White and Blue Sponsorships) to minor supporting sponsors. A description of each sponsorship category is provided below
3.2.1. Club Sponsors (Three sponsorships only @ $1500 per year)
Three major sponsorships are offered in this category (i.e. Red Sponsor, Blue Sponsor and White Sponsor). These sponsorships are offered on 1 to 3 year basis and include:
- Game day advertising (banner to be supplied by advertiser)
- Identification as a Club Sponsor in the club newsletter (i.e. half page advertisement) and on the club web-site.
- Recognition at the Junior end-of-season awards day
- Formal recognition (including showcase opportunity) at the senior end-of-season awards night.
- Two complimentary tickets to the senior end-of-season awards night.
- Category exclusivity.
3.2.2. Supporting sponsors (Unlimited number at $750 per year)
Three major sponsorships are offered in this category (i.e. Red Sponsor, Blue Sponsor and White Sponsor). These sponsorships are offered on 1 to 3 year basis and include:
- Identification as a Supporting Sponsor in the club newsletter (i.e. business card advertisement) and on the club web-site
- Formal Recognition at the Junior end-of-season awards day
- Category exclusivity
4. Administrative Arrangements
The first point of contact for Advertising and Sponsorship opportunities is the Club Sponsorship Officer (or the Club Secretary).
Once an approach has been received (or solicited), a summary of the proposed arrangement is to be prepared using the proforma provided at Appendix 2. A copy of the completed pro-forma should then be forwarded to the Club Secretary for consideration at the next meeting of the GPSC Club Committee (meets on the 3rd Monday of every month).
Subject to the proposal being approved by the committee, a short letter detailing the proposed sponsorship/advertising offer will be forwarded to the advertiser or sponsor requesting formal acceptance.
Upon formal acceptance of the sponsorship/advertising offer, an invoice will be raised for the first year fees and the agreement will commence upon payment of this invoice.
